Know which jobs make money while they are still running.

We fill your finance seat with a person who knows construction books. Agents enter every bill and code it to the job and cost code. Your person checks each one, holds anything missing a lien waiver, and owns the job cost report.

524 job postings in our pulls name both QuickBooks and Procore. 367 name QuickBooks and Buildertrend. US postings, Mar 22 to Oct 3, 2026, from our own pulls. The full report

What is different about the books

Construction books break in the same four places.

The agents do itYour person does it
What goes wrong
What the agents do
What your person does
01

Job costing

A $14,200 drywall bill lands in overhead. The job looks profitable until the year-end cleanup says it was not.

What job costing means
Agents

Code every bill and card charge to the job and cost code the day it arrives.

Your person

Fixes anything coded to the wrong job, and walks you through the job cost report every month.

02

Progress billing

The pay app goes out a week late, so the check comes a month late. Retainage lives on a spreadsheet nobody owns.

Agents

Pull costs to date for each job, and send reminders on pay apps that are past due.

Your person

Builds each pay app against the contract and keeps one list of retainage owed to you and by you.

03

Subcontractor paperwork

A sub gets paid without a lien waiver. An expired insurance certificate turns up when the auditor asks.

Agents

Ask each sub for the waiver before every pay run, and flag insurance certificates before they expire.

Your person

Holds any payment that is missing a waiver. No waiver, no payment.

04

The Monday pile

Supplier and sub invoices ride around in trucks and inboxes until someone has a free afternoon.

Agents

Enter each bill as it comes in, and match bank and card lines every day.

Your person

Approves the bills, answers the vendors, and closes the month by the 10th.

Your person checks every line the agents do. The agents never make the judgment calls.

The software you run on

Keep your software. Nothing moves.

Construction questions

Can the agents work in Buildertrend or Sage 300?

Not directly. Buildertrend only lets approved partners connect, and Sage 300 CRE and Foundation are not among the systems the agents reach. Your person logs into them like any employee, and the agents work on what they export. Procore is different: the agents connect to it with an app you install and can remove.

Who decides the percent complete on a pay application?

You and your project manager. Percent complete is a judgment about the job, so no agent sets it. Your person builds the pay application from your numbers and the schedule of values, and you sign it before it goes out.

We are on QuickBooks Desktop. Do we have to switch?

No. Changing systems is never a condition of working with us. The agents connect to QuickBooks Online, not Desktop, so on Desktop your person does more of the entry by hand. We tell you on the first call which duties that leaves with the person, and size the seat that way.

Our posting says on-site. Does that rule you out?

Usually not. Bills, pay applications, job costing and the close all run remotely once someone has access to your software. Where part of the role really is physical, like mail, checks and deposits, a local part-time person covers those hours.

Will the person know construction books?

You pick from named candidates with real resumes, each checked for years in the systems your posting names, like Procore or Sage 300. You can watch a recorded call with each one before the interview, and it costs nothing until you pick someone.
